Privacy policy
Vault Notes is a meeting-notes app by DM Web Services (the Netherlands). The app is in development. This policy matches what the app's code does, and we keep it in line with the "Data safety" section in Google Play. The technical detail is on Privacy by design.
In short
- Recordings, transcripts, summaries and tags stay on your phone, in an encrypted database. We cannot see them.
- There is no account, no analytics, no crash reporting and no advertising.
- The app uses the network only to download its AI models (huggingface.co) and to check your subscription (RevenueCat).
Data on your phone
Audio is processed on the device while you record and is not saved as a file. The resulting text, summaries, tags and settings are stored in a SQLCipher-encrypted database. The key is generated on the phone and protected by the Android Keystore. Android backup is switched off for the app. We have no copy of any of it.
Recording other people may require their consent. You are responsible for asking for it.
Third parties
| Who | Why | What they receive |
|---|---|---|
| Hugging Face (huggingface.co) | Hosting of the open AI models the app downloads once | A download request, which like any web request includes your IP address |
| RevenueCat | Managing your subscription | An anonymous ID, app version, platform and Google Play purchase receipts. No name or email |
| Google Play | Payment for Pro | Handled under Google's own terms; we never see payment details |
| Picovoice | Only if you choose Picovoice Falcon for speaker separation (not active in the current build) | A one-time licence check with a hash of the access key, the app version and platform |
App permissions
- Microphone, with a foreground service while recording, so the recording continues with the screen off.
- Internet, for the model download and the subscription check above.
- Bluetooth connect, to record through a Bluetooth headset.
The waitlist on this website
The beta form asks for your email, your type of phone and your consent. You are only on the list once you click the confirmation email. The list is stored on our own server in the EU. The form uses Cloudflare Turnstile against spam. We keep your address until 30 days after launch, or until you unsubscribe with the link in every email. This website uses no cookies and no analytics.
Your rights
Because your notes are only on your phone, you control them fully: uninstall the app or clear its storage to erase everything (deleting a single meeting currently hides it rather than erasing it). For the waitlist you may access, correct or erase your email address; email support@vaultnotes.nl. You can complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or your local authority.
